Privacy Policy
Effective date: 1 March 2025
At Saleshunt.ai B.V. ("Saleshunt", "we", "us", "our"), we take your privacy seriously. By using or accessing our Services in any manner, you acknowledge that you accept the practices and policies outlined below, and you consent to our collection and use of your information as described in this Privacy Policy.
We are an EU company and host data in the EU. This policy is designed for compliance with the EU/EEA/UK GDPR.
This Privacy Policy covers how we treat Personal Data that we gather when you access or use our Services (our website, waitlist, and application). "Personal Data" means any information relating to an identified or identifiable person under applicable data‑protection law. This Privacy Policy does not cover the practices of companies we don't own or control or people we don't manage.
Personal Data
Categories of Personal Data We Collect
This list details the categories of Personal Data that we collect:
Profile or Contact Data
- First name, company email; waitlist details (your name, company email, company name).
Categories of third parties with whom we share this data: Service Providers (including EU cloud hosting/database and email delivery); Parties You Authorize, Access or Authenticate.
Customer Content
- Data you upload or import (e.g., CSV/Excel lists) and data you choose to enrich or transform in the app.
Your content is logically isolated per customer. We do not use customer content to train any large language models. Shared with: Service Providers acting on our instructions.
Payment/Billing Data
- Payment card type, last 4 digits, billing address, phone number, and email (full card details are processed by our payment processor).
Shared with: Service Providers (payments) — our payment processor (e.g., Stripe) collects card details to process payments; we only receive limited billing details.
Device/IP & Security Data
- IP address for security purposes (e.g., failed login detection and cool‑offs); this IP may be linked to the relevant account/email for security.
Shared with: Service Providers (hosting/infrastructure, security).
Usage & In‑App Analytics Data
- Pages/screens visited, features used, actions taken, session identifiers, feature‑flag assignments, request/event IDs, timestamps.
- Linked to a unique user identifier (UID) so we can distinguish users without storing names or emails in the analytics system.
- Device/OS/browser metadata collected only within in‑app analytics to improve performance/UX (not on the public website).
Shared with: Service Providers (analytics). Not shared with third parties for advertising or marketing.
Support Interactions & Other Identifying Information You Choose to Provide
- Information in emails or messages you send us.
Shared with: Service Providers (e.g., support/email).
We do not intentionally collect special categories of data.
Categories of Sources of Personal Data
- You: data you provide directly (waitlist, account registration, imports, support) and data collected automatically when you use the Services (security logs, usage analytics).
- Third Parties: vendors/service providers (EU hosting/infrastructure, authentication/database, analytics, payments); and data providers you choose to use for enrichment (professional/B2B datasets from public sources or providers).
Our Legal Bases and Purposes for Processing Personal Data
- Contractual Necessity — creating/managing accounts; providing the application; support; security and service operation.
- Legitimate Interests — improving and securing the Services (including in‑app performance/analytics), testing/research, product development, fraud prevention and debugging. You may object to processing based on legitimate interests (see "EU/EEA/UK Rights").
- Consent (where required by law) — for analytics/tracking activities that are not strictly necessary. By using the application, you consent to performance/analytics used to improve the application. You may withdraw consent as described in "Tracking Tools and Opt‑Out."
- Legal Obligations — compliance with applicable law and responding to lawful requests.
We will not use Personal Data for materially different, unrelated, or incompatible purposes without providing notice (and additional consent where required).
Tracking Tools and Opt‑Out
Public website: we do not use cookies on our public website.
Application: we use performance/analytics tracking to understand how the product is used and to improve the user experience. This includes pages/screens visited, features used, and actions taken, tied to a UID (not to your name/email in the analytics system). We use cookies and similar technologies (client‑ and server‑side), including session identifiers and feature‑flag assignments.
- Purpose: product analytics, trend identification, and UX improvements.
- No PII in analytics: names/emails are not stored in analytics.
- No ads: analytics data is not shared with third parties for advertising/marketing.
- User control: you may opt out of analytics by emailing support@saleshunt.ai; we will honor your request and disable analytics for your account/workspace where technically feasible.
- Legal basis: we rely on consent for non‑essential analytics and may also rely on legitimate interests to maintain and improve core service quality and security.
International Data Transfers
We host data in the European Union (currently Amsterdam and Frankfurt). If Personal Data is transferred outside the EEA/UK, we use appropriate safeguards such as the EU Standard Contractual Clauses or equivalent mechanisms permitted by law.
Data Security and Retention
- Passwords are stored hashed and salted (no plaintext).
- Data is encrypted in transit and at rest on EU infrastructure.
- Access is limited using role‑based and least‑privilege principles.
We retain Personal Data only as long as necessary for the purposes described in this policy or as required by law, after which we delete or anonymize it.
Personal Data of Children
Our Services are not intended for children under 16. If you believe a child has provided Personal Data, contact support@saleshunt.ai and we will delete it.
European Union/EEA/UK Data Subject Rights
You have the rights to access, rectify, erase, restrict, and port your Personal Data, and to object to processing based on legitimate interests. Where processing relies on consent, you may withdraw consent at any time. To exercise your rights, contact support@saleshunt.ai. You can also lodge a complaint with your local data‑protection authority (e.g., the Dutch Autoriteit Persoonsgegevens).
Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We will post changes here and update the effective date. If changes are material, we may provide additional notice.
